Privacy Policy

This policy explains how Search Training and Training Wallet handle personal information, enrolment data, credential records, consent-driven sharing, and regulated training workflows. It is written to support learners, employers, training providers, and mobile app privacy review requirements.

Overview

Search Training operates the public training marketplace and related provider, employer, and operational platform services. Training Wallet, including the experiences associated with trainingwallet.com.au and the related mobile application, is the learner-owned credential layer within that ecosystem.

Search Training and Training Wallet are designed to work together, but they are not substitutes for a training provider's delivery, assessment, or issuance obligations. Training providers remain responsible for the training they deliver and the outcomes they issue.

What data we collect

Depending on the workflow, Search Training and Training Wallet may collect identity, contact, booking, enrolment, attendance, credential, review, support, and operational usage information.

Where a learner books or begins an enrolment flow, the platform may collect information required for course delivery, regulated student management, funding assessment, or related provider processes. This can include data relevant to AVETMISS-aligned enrolment handling where those workflows apply.

We also collect limited technical and operational information needed for security, authentication, support, fraud prevention, reliability, and product improvement.

Training Wallet Mobile Application

The Training Wallet mobile application is intended to let a learner store, review, share, and manage credential records connected to their training history. The app is covered by this policy together with the Search Training web platform.

Credentials in Training Wallet are private by default. The learner controls whether to display, share, or release those records to an employer, provider workflow, or another approved recipient.

This policy is also intended to support privacy disclosures required by the Apple App Store and Google Play review processes. Where app-specific disclosures are required, they should remain consistent with this policy and the same underlying data model.

Sharing, credential release, and consent

Search Training and Training Wallet do not treat learner credentials as open or public by default. Credential release to an employer, provider flow, or other recipient should be based on learner action, explicit consent, or another lawful basis that is clear to the learner.

When a learner books training or progresses through an enrolment flow, data may be shared with the relevant training provider or connected student-management workflow to support course delivery, enrolment administration, funding handling, or credential issuance.

If a workflow requires USI handling or verification, Search Training may process the USI information that the learner or provider supplies. Where enabled and required, that information may be used within provider or system verification processes. Search Training does not promise that every USI-related flow is always active in every environment.

Search Training and Training Wallet may also use anonymised or aggregated usage data to improve service quality, product design, fraud detection, and operational reporting, provided those outputs do not identify an individual learner.

Security controls and privacy safeguards

The platform uses role-based access controls, environment separation, and fail-closed behavior for sensitive operational paths where appropriate. Search Training also applies bounded operational logging and other protective measures intended to support regulated training workflows.

We use reasonable technical and organisational controls to protect personal information and credential records. No system can guarantee absolute security, but security and trust are fundamental design priorities for Search Training and Training Wallet.

AI-assisted processing

Some parts of the platform use AI-assisted tools to support functions including eligibility guidance, credential matching, content discovery, and administrative automation. The following principles govern how personal information is handled in these workflows:

Data minimisation. AI-assisted workflows are designed to minimise use of personal information. Where practicable, de-identified, tokenised, or aggregated data is used before passing information to AI components.

Access and encryption. Where personal information is involved, it is subject to the same access controls, encryption, and audit logging that apply to the rest of the platform.

Human oversight. Where an AI-assisted process produces a recommendation or outcome that may affect you directly, appropriate human oversight is applied.

Retention. Personal information used in AI-assisted workflows is retained only as long as reasonably necessary for lawful business, regulatory, contractual, and compliance purposes, then securely destroyed or de-identified as appropriate.

No model training on your data. We do not use your personal information to train external AI models or share it with third-party AI providers beyond what is necessary to operate the specific feature.

User rights and choices

Users may request access to, correction of, or deletion of personal information where applicable law permits. In some cases, regulated training obligations or provider record requirements may limit immediate deletion.

Learners can control credential-sharing choices in Training Wallet and may revoke future access where the product experience supports that action. Previously shared or lawfully transferred records may still need to be retained by the receiving provider or employer under their own obligations.

Data retention

Search Training and Training Wallet retain personal information and credential-related records only for as long as required to deliver the service, maintain security and operational integrity, meet legal or contractual obligations, or support regulated training workflows where applicable.

Training providers remain responsible for keeping student records that they are legally required to retain. Search Training and Training Wallet are platform services and do not replace the provider's own regulated retention duties.
